Wayfinder Missions Corp (“Wayfinder”)

Mission Trips Terms and Conditions:

 

Payment for a Wayfinder Missions Corp (a 501c3 Non-Profit) mission trip is separated into a deposit, individual registration fee (varies, see trip details) and two scheduled payments:

 

  • Deposit - non-refundable and non-transferable, a single deposit covers ALL group sizes.

  • Deposit is equivalent to one per person trip fee (see trip details) and applies toward the total trip fees.

  • A registration fee per individual

  • 6 months prior to mission trip – 50% of total trip cost due

  • 30 days prior to mission trip – 100% of total trip cost due

    • Groups making final payment less than 30 days in advance of the trip will pay a $250 service fee

    • Monies received will not be refunded, however, if notified 90 days or more prior to the mission trip start date of a participant cancellation, Wayfinder will allow monies to be applied toward a future trip provided travel is within 18 months of the original mission trip start date, subject to availability.

    • Any decrease in the number of a Team’s mission trip participants within 120 days prior to the trip start date results in the forfeiture of all excess payments.

 

All fees are in U.S. dollars. Payment can be made by check, cash, money order or credit card (a 3% processing fee will be added for credit card payments). If payment is not received by the due date, reserved space(s) may be canceled.

 

Wayfinder Missions Corp is not responsible for donation money for projects (should you desire to do projects we typically can identify low-medium-higher dollar projects for you to fundraise for).  Unless stated otherwise in trip description, trips do NOT include construction materials or medical supplies for medical trips.

 

We do not provide medications, insurance, vaccinations, passports or airline transportation.  International locations may include ground transportation provided by Wayfinder, see trip details for the specific trip you are interested in.

 

Domestic mission participants provide their own ground transportation.

 

Change of mission trip date:

 

  • Wayfinder Missions Corp is under no obligation to open a new trip date for any Team that desires to transfer from the original trip date to a future trip date. Any change from the original trip date requires the written consent of Wayfinder, at its sole discretion. Without the written consent of Wayfinder, the Team is subject to 100% forfeiture of payments made for the registered mission trip.  Written consent of change of trip date must be secured greater than 120 days prior to the registered mission trip start date.

  • Assuming Wayfinder Missions Corp consents to a transfer of a Team’s payments from the original trip date to an available future trip date, the new trip date must be within 18 months of the original date.  Additionally, an additional deposit equivalent to one participant trip fee will be applied for administrative costs of the transfer.

  • Request for transfer of trip date, received by Wayfinder less than 120 days prior to the trip start date, will result in a 50% cancellation fee.  The remaining 50% may be utilized by the team for a future mission trip provided the start date for the new mission trip is within 18 months of the original trip date.

  • All participant number changes need to be communicated in writing with Wayfinder.

  • We DO NOT offer refunds to any mission trip participants or group for ANY reason. This includes all deposits and payments.

  • If Wayfinder Missions Corp cancels your trip due to weather, disaster or national emergency, or “acts of God” you will receive a full CREDIT of monies paid, to go on a future Wayfinder Missions Corp trip. We will do our best to accommodate your schedule and to get you on a mission trip as soon as possible.  This credit must be used within 18 months of the original trip date.

  • Wayfinder Missions Corp reserves the right to cancel or postpone any Team’s mission trip for any or no reason and at any time in its sole discretion. If Wayfinder Missions Corp cancels or postpones a Team’s mission trip, 100% of the payments made to Wayfinder Missions Corp are transferable to an available mission trip within 18 months of the original trip date.

  • Failure to pay in full prior to the trip start date will result in cancellation of the mission trip.

  • Cancellation made by a Team for any reason results in a forfeiture of payments made to Wayfinder for the registered mission trip.

 

Important Deadlines:

 

  • 14 days after registration - Initial Payment Due (deposit equivalent to one participant trip fee)

  • Registration fee per participant, due as each individual registers.

  • 6 months prior to trip start date - Payment of 50% of total trip cost due

  • 30 days prior to trip start date – Payment of 100% of total trip cost due

  • 30 days prior to trip start date - Electronic submission of Individual Participant forms due

  • 30 days prior to trip start date - Donation monies received by Wayfinder Missions for any projects you’ve chosen to do

 

Participant Eligibility:

 

  • All individual participants 18 years or older must be willing to undergo a full background check (a $25 fee will be added to your trip cost if your location requires 100% screening).  Check with your Wayfinder guide to see if this applies on your mission trip.

  • Individual trip registrations must be 18+ OR accompanied by an adult 25+.  Family and children are welcome. For exceptions or if less than 12 years of age, contact our office, we can typically accommodate any age, trip location depending.

 

Adult Participants:

 

  • It is the responsibility of your organization to conduct a full criminal background check on all adult participants, 18 years of age or older. Any individuals not passing the background check are obligated to contact Wayfinder Missions Corp.

  • We recommend a minimum of one adult for every six youth participants. If you register for both males and females, please bring at least one adult male and one adult female.

 

Site Availability and Waiting Lists

 

  • Groups are registered on a first come, first-served basis

 

Confirmation/ Communication

 

  • When registering, you’ll designate a primary contact for your group. The primary contact will receive all mission trip communications.

  • By registering for a mission trip, you understand and agree that the primary contact will do the following:

    • Consolidate all participant payments.

    • Make sure all forms are filled out and submitted to Wayfinder Missions Corp

 

Transportation:

 

DOMESTIC AND INTERNATIONAL LOCATIONS:

 

  • You are responsible for your airfare, regardless of trip location.

 

INTERNATIONAL LOCATIONS:

 

  • Local transportation is provided to and from ministry sites.

  • Passports are required for all our international sites unless specifically not required by law

 

DOMESTIC MISSIONS:

 

  • All DOMESTIC groups must bring adult drivers with vehicles that can be used the entire week to transport participants and leaders for every day of your mission trip (Does NOT apply to international sites).

  • If your group charters a bus it must be available for us to transport students and leaders for every day of your mission trip..

 

Insurance and Liability:

 

  • Each individual is fully responsible for any and all costs associated with medical needs.

  • Each adult should carry a credit card with sufficient limits to pay for medical services up front.  

  • It is required for all participants to have sufficient medical and/or travel insurance.

  • In an effort to provide the highest quality and safest mission experience possible, ALL PARTICIPANTS going to international sites are urged to obtain International Evacuation and Health Insurance (which includes: evacuation and medical coverage). International Insurance must be obtained independently.  One vendor available is AIG, cost per person is approximately $25 USD per person. Wayfinder Missions Corp is not affiliated with AIG.

    • Important to note:  Emergency Medical Expense / Emergency Evacuation insurance providers typically provide reimbursement for medically necessary medical services and emergency transportation expenses during a trip.  Plan accordingly.

    • Proof of international insurance must be emailed to Wayfinder Missions Corp 30 days prior to the start of your trip.

    • Groups choosing not to obtain this insurance must notify Wayfinder Missions in writing prior to the mission trip.

    • Any adult choosing to travel without insurance or authorizing a minor to do so must indicate so in writing to Wayfinder Missions Corp.  Wayfinder may decline to allow travel in such cases.


 

Food Allergies & Dietary Restrictions:

 

  • Wayfinder Missions Corp is committed to providing quality meals on your mission trip. While we are able to accommodate most dietary restrictions, we DO recommend individuals with dietary restrictions bring snacks or special food items to help supplement their meals. Thanks!

  • Wayfinder Missions Corp is able to provide basic meal substitutions or alternatives for the following: vegetarian, dairy free, soy free, gluten free, vegan. If you have a dietary restriction that is not included on this list, please contact our office.  

  • Wayfinder Missions Corp strives to meet all food allergy requirements. Please understand that no environment is 100% safe and by attending a Wayfinder Mission trip you assume liability for understanding your allergy and health needs. Many of our standard meals may contain milk, eggs, wheat, gluten, soybean, peanuts, tree nuts,fish, and shellfish. All severe allergies to these (or other food items not listed) should be communicated to Wayfinder Missions Corp office in writing.

  • We cannot provide a peanut free environment for individuals with airborne allergies. If you have a severe allergy, please contact our office.

 

YOU ARE VOLUNTARILY PARTICIPATING ON A MISSION TRIP.  AS SUCH, ADDITIONAL RISKS AND DANGERS MAY ARISE INCLUDING, BUT NOT LIMITED TO, HAZARDS OF TRAVELING IN UNDEVELOPED AREAS, HAZARDS OF TRAVEL BY BOAT, TRAIN, AUTOMOBILE, AIRCRAFT, BUS AND OTHER MEANS OF CONVEYANCE, FORCES OF NATURE, POLITICAL UNREST, OTHER UNREST, HAZARDOUS LOCAL CUSTOMS AND PRACTICES, DIFFERING LEVELS OF SANITATION, DIFFERING STANDARDS OF SAFETY, RISKS ASSOCIATED WITH WATER, FOOD, PLANTS, INSECTS AND DIFFERING ANIMAL REGULATION, ACCIDENT OR ILLNESS IN AREAS LACKING MEANS OF RAPID EVACUATION OR MEDICAL FACILITIES, AND ACTS OF NATIONAL AND LOCAL GOVERNMENTS AND UNREST AND ACTS OF OTHERS AGAINST GOVERNMENTS.  THESE RISKS ARE NOT AN EXHAUSTIVE LIST BUT ARE EXAMPLES OF MANY KINDS OF RISKS.

YOU ARE VOLUNTARILY PARTICIPATING IN THESE ACTIVITIES WITH THE KNOWLEDGE THAT THERE ARE INHERENT RISKS INVOLVED IN ANY MISSIONS ACTIVITY, AND YOU HEREBY AGREE TO ACCEPT ANY AND ALL RISKS.

AS LAWFUL CONSIDERATION FOR THE AGREEMENT WITH WAYFINDER MISSION CORP TO PARTICIPATE IN SUCH MISSION TRIPS AND ACTIVITIES YOU AGREE YOU WILL NOT MAKE A CLAIM AGAINST WAYFINDER MISSION CORP OR ITS PERSONNEL OR SUE FOR BODILY INJURY, EMOTIONAL TRAUMA, DEATH, PROPERTY LOSS OR DAMAGE OR OTHER LOSS, COST OR EXPENSE, HOWEVER CAUSED, AS A RESULT OF OR RELATED TO YOUR REGISTRATION OR PARTICIPATION IN THIS MISSION, INCLUDING TRAVELING TO OR FROM, OR IN ANY AND EVERY OTHER WAY PARTICIPATING IN THE MISSION TRIP. YOU RELEASE WAYFINDER MISSIONS AND ITS PERSONNEL FROM ANY AND ALL CLAIMS, KNOWN OR UNKNOWN, ARISING FROM THE MISSION TRIP, TRAVELING TO OR FROM, AND IN ANY AND EVERY WAY PARTICIPATING IN THE MISSION TRIP.

THIS RELEASE OF LIABILITY AND ASSUMPTION OF RISK AGREEMENT IS ENTERED INTO ON BEHALF OF YOU AND ALL MEMBERS OF YOUR FAMILY AND TEAM, ALSO INCLUDING MINORS ACCOMPANYING YOU. THIS AGREEMENT ALSO BINDS YOUR HEIRS, LEGAL REPRESENTATIVES, AND ASSIGNS.
